Ask which depot holds the proposed unit and how its journey will be organised. A supplier's national presence does not establish a nearby machine or technician. Share the exact worksite, access information and required arrival date. Separate the planned transport time from any assumptions still awaiting confirmation, especially where multiple carriers or transfer points are involved.
Plan supplies around the work programme
Discuss fuel, consumables and routine servicing with the provider before the hire begins. Assign responsibility for bringing those inputs to the worksite. Describe the shift pattern and expected usage so the provider can discuss support intervals. If the programme extends, revisit the supply plan rather than assuming the original arrangements remain adequate.
Test the stoppage plan
Ask how a fault is reported, who triages it and what information the site should provide. Distinguish telephone support from a technician visit or a replacement machine. Request realistic response expectations for the location without treating them as a guaranteed arrival time unless agreed. Record the contingency decision owner so a stoppage does not become a chain of unanswered calls.
Put it into practice
For a distant project, ask where a replacement unit would depart from as well as where the first unit is based. Discuss whether the replacement would need different attachments, transport or familiarisation. Include fuel and servicing windows in the programme and identify the communication method when the site has limited connectivity. If a route becomes unavailable, the team should know who stops dispatch and who approves revised dates. These questions turn a broad coverage statement into a practical conversation about support.
