Close the hire with a clear off-hire handover
Coordinate notice, collection, accessories and return records so the end of the job has a clear owner.

Ask the provider which notice channel to use, any cut-off time and how receipt is confirmed. Clarify the relationship between stopping work, sending notice and equipment collection under your hire terms. Do not assume a parked machine has automatically gone off hire. Save the confirmation with the machine reference and agreed end date.
Prepare equipment and accessories for return
Follow the agreed return requirements for fuel, cleaning and equipment condition. Gather attachments, keys and supplied accessories in the agreed location. Record the meter and condition using the provider's handover process. Report issues directly rather than leaving them for the collection driver to discover without context.
Keep collection access available
Confirm the gate, collection contact and loading arrangements before other contractors change the site. If collection is delayed, ask who remains responsible for access and custody. Reconcile the final record against the agreed scope and raise any question with the provider while the evidence is available. Use what you learned to improve the next hire brief.
Put it into practice
When work ends on a Friday but collection is planned for Monday, establish what the agreed terms say about charges and responsibility during the gap. Send the notice through the required channel and keep its acknowledgement. Record the meter, fuel, condition and accessory inventory, then confirm where the equipment will wait and who provides collection access. If the collection window changes, retain the revised arrangement. Stopping work, notifying off-hire and physically returning plant are separate events that should be recorded clearly.
