Compare plant hire quotes on the whole job
Build a like-for-like comparison of hire, transport, operating hours, attachments and collection before choosing a supplier.
Plant Hire Services editorial · Published 20 September 2026Give every provider the same brief
Send the worksite address, task, material, expected output, access dimensions, start date and likely duration in one document. State whether you need an operator and which attachments the task depends on. A price for an unspecified machine is difficult to compare with a quote based on a defined configuration. Ask each provider to identify the unit or class offered and the assumptions behind its recommendation.
Compare a common operating scenario
Separate hire from mobilisation, collection, operator travel, fuel, attachments and any minimum hours. Work out the expected total for the same number of shifts. Then ask how a shorter job, an extra shift or a delayed start changes that total. Treat an unpriced item as an open question rather than zero. Record whether amounts include GST and when the quote expires.
Resolve the exceptions before selection
Ask what happens during rain, standby, breakdown and a change of location. Identify the process for approving extra charges and the contact who can authorise them. Keep the supplier's written response beside the quote so the team receiving the equipment works from the same scope. Select against the complete service requirement, including realistic support and delivery, rather than the lowest headline rate.
Put it into practice
Suppose one supplier quotes equipment only and another includes delivery and an operator. Enter both against the same planned hours, adding each excluded item as a separate line. Then repeat the comparison with an extra shift and a later collection. Keep unanswered items visible and ask for a revised written proposal. This makes the decision traceable if the programme changes: your team can see which assumptions held and which need a new agreement, rather than arguing from two incompatible headline rates.
Before you book
- Same machine configuration and attachments
- Same shift hours and duration
- Delivery and collection priced separately
- Fuel and cleaning responsibilities recorded
- Extension and off-hire process confirmed
Use this checklist in your enquiry and record the provider’s answers beside each item.
Build your service brief ↗Questions worth asking
Should I choose the lowest hourly rate?
Compare the complete job using equivalent equipment, operating hours, transport and support. Minimum hours and excluded services can outweigh a lower headline rate.
Does this guide confirm a provider’s equipment or availability?
No. This is general planning guidance. Published directory records and guide examples are not a booking, equipment recommendation or confirmation of availability for your site.
