Identify the decisions weather can change

Discuss which parts of the work rely on suitable access, ground or operating conditions. Nominate the qualified site personnel who decide whether the planned work can proceed. Use current local forecasts and site observations as inputs to that process. Do not treat a regional description or a seasonal assumption as confirmation of conditions on the day.

Agree the communication cut-off

Ask the provider when changes must be communicated before transport or operator commitments begin. Record the process for postponement, standby and revised delivery. Make sure the person making the site decision can reach the person managing dispatch. Where multiple suppliers are involved, send the same revised programme to all affected contacts.

Check the restart sequence

After an interruption, reassess access and work readiness with the responsible site team. Reconfirm equipment, support services and operator availability for the revised dates. Ask whether the original quote or booking assumptions have changed. A restart may require a new delivery window or workface sequence even if the overall task remains the same.

Put it into practice

Suppose heavy weather is forecast before delivery. Agree who checks site readiness and when the supplier needs a decision before committing transport. Ask how postponement affects equipment, operator attendance and delivery charges separately. Operational suitability remains a decision for the responsible site and equipment personnel. Record the notice and the supplier’s response, then reconfirm the revised arrival window. A clear decision time helps avoid a situation where the site considers the booking postponed while dispatch still expects to travel.
